01

Photograph a receipt, confirm, done

Send a receipt photo, a PDF, or a whole bank statement to the Staks Agent. It reads the vendor, amount, date, and category, then shows you the entry to confirm before anything is saved. Nothing is recorded without your approval.

  • Receipts, PDFs, and pasted text all work
  • Spreadsheets and statements import in bulk with column mapping
  • You review every extracted row before it lands
  • The original file stays attached to the expense
02

Categories that match how you actually spend

Every expense gets a category and an optional sub-category, so "marketing" can separate into ads, design, and events. Direct costs are marked as such, which keeps your gross margin honest instead of lumping everything into overhead.

  • Custom categories and sub-categories you control
  • Direct costs separated from operating expenses
  • Filter and group by category, vendor, or customer
03

Know what is paid and what is still pending

Expenses carry a live status — draft, pending, paid, or overdue — with the payment date stamped when you mark one paid. Unpaid bills stop being a surprise at the end of the month.

  • Payment date recorded automatically on the paid transition
  • Overdue expenses surfaced, not buried
  • Attach the receipt or supplier invoice to the record
04

Recurring expenses that log themselves

Rent, subscriptions, and retainer fees repeat on a schedule you set. Staks creates each one for you so the same entry does not need typing twelve times a year.

05

Vendor bills and stock in one place

Bills are the purchase-side document: a vendor, a currency, and line items that can point at real products. When a bill includes stock-tracked goods, Staks increases your inventory; when it does not, the cost posts straight to cost of goods sold.

  • Vendors with their own balances and purchase history
  • Bills in any currency, converted at the rate on the date
  • Stock-tracked items raise inventory, everything else hits COGS
06

Reclaim the input VAT you are entitled to

VAT on business costs is only recoverable if the expense is recorded with a valid tax invoice behind it. Staks keeps the VAT amount, the vendor details, and the attachment together, so filing time is a review rather than an archaeology project.

Questions

Do I need to type expenses in manually?
No. You can type them if you prefer, but the usual route is sending a receipt photo or a statement to the Agent and confirming what it extracted. Bulk imports from spreadsheets are column-mapped, so the values come from your file rather than being retyped.
Is expense tracking available on the Starter plan?
Yes. Expenses, categories, recurring expenses, and vendors are on every plan. Vendor bills and inventory tracking require the Growth plan.
Can I record an expense in a different currency?
Yes. Record it in the currency you actually paid — USD, AED, SAR, LBP, or anything else — and Staks converts it into your primary currency using the rate for that date.
Does an expense update my accounts automatically?
Yes. Every expense and bill writes its own double-entry journal when you save it, so your profit and loss reflects the spend immediately. The full ledger view is on the Growth plan.
