Files live with the record they belong to
A receipt attached to its expense is worth more than a receipt in a folder called Receipts. In Staks you upload the file on the record itself, so the document and the transaction never get separated.
- Expenses — receipts and invoices from suppliers
- Bills — the supplier document behind the purchase
- Vendors and companies — contracts, trade licences, agreements
- Employees — contracts and personal documents
- Performance records — review documents
One hub across the whole business
The Documents page collects every file uploaded anywhere in your organisation into one list. When someone asks for a contract signed eighteen months ago, you do not need to remember which record it went on.
- Filter by where the file came from
- Search across all uploads
- Open the underlying record in one click
Record-keeping without a filing cabinet
UAE VAT and corporate tax rules both require you to keep records — including the documents behind your entries — for years after the period they relate to. Saudi rules are comparable. If your receipts live in a phone camera roll and a WhatsApp thread, that obligation is unmet.
- Files stay attached to the transactions they support
- Everything remains retrievable long after the period closes
- An auditor question becomes a search, not an excavation
Add files from anywhere
Upload from the record you are working on, from the Documents page directly, or from your phone. On mobile you can photograph a receipt and attach it to the expense on the spot, before the paper goes missing.
Deletes stay clean
When you delete a record, its attachments are removed with it rather than orphaning in storage. Deleting a single file asks for confirmation and tells you exactly which record it will be detached from.
Questions
- What kinds of files can I upload?
- Images and PDFs are the common cases — receipts, invoices, contracts, licences — and other file types are accepted on most record types. There is a per-file size limit, so very large scans should be compressed first.
- Can I attach a receipt from my phone?
- Yes. The mobile app lets you photograph a receipt and attach it directly to an expense, which is the point at which most paper receipts are lost.
- Does the AI agent read attached receipts?
- Yes. You can hand a receipt or a supplier invoice to the Staks Agent and it extracts the vendor, amount, date, and category for you to confirm before anything is saved.
- Is the Documents hub available on all plans?
- Yes. Documents and attachments are included on Starter, Growth, and Scale. Bills-related attachments follow the Bills feature, which is on Growth and above.
